• Records that share the same address are considered duplicate and should be merged. (or if one has no address, this is likely a duplicate as well.
• Make sure each company that you are going to merge each have identical Company Head id's and Company Site id'. If the two ID's differ on the same record - DO NOT MERGE. these records will be dealt with using a different process.

Use the Merge Companies button to start the process ( on the main Company Screen)

We have identified records which we think might be able to be merged and perform a pre-scripted search and show you the results.

identify two ( or more ) companies to be merged and check them off under the Merge Select.

Note: if the companies you wish to merge do not show on the list you may do your own search  ( on this screen) so they appear on the list.

Once  you have selected the companies , click the Merge Companies Pop-over

You are then presented with the companies details, so you can determine which record "Keep" and which one (s) to "Merge".

At the bottom of each company record you will see a summary of "related Records". It is best practise to select the company with the most records ( particularly invoices to be the "keep" record, an the other the "merge" record.

Use the radio buttons at the top of each record to designate each ( remember you can only have one "Keep" record.

IMPORTANT:: Address information is NOT merged/moved in any way. If needed please copy paste or move any data ( eg suite number) to the keep record.

Multiple Contacts: If the records have different contacts you may use the Capture Contact on the merge record. This will create a new contact record on the Keep record.

The Capture Contact process also captures the address from the selected company, so if the merge record has a different address (even of no contact name), use the Capture Contact function to capture the address.

When you are ready click the Merge Companies button

We give you an option of running the merge in test mode ( nothing actually gets merged ort deleted) or "real" mode

You are then presented with result of what was merged.

This is also saved into a communication record on the Company keep record

Click the Thanks-Continue;  to ya you guessed it - Continue !

Merged Records  are marked for deletion, you will see the name with a cross through , these records will be exported into an archive system and then deleted.

You MUST NOT USE OR EDIT these records once they are marked for Archive/deletion.
