Invoices Courses

This Job Aid will outline  creating a new Company Invoice from a student record, assigning a company from a student record and creating. 3rd party invoice

Assign Company

From the courses module- Course Attendance portal, deter mine the student you wish to create the invoice for , then click the "Actions" pop-over and click the Assign Company button.

You will then be taken to the Companies Search/Add Screen

From here you can search for the company, or if needed Add a new Company

Search for the desired company using the Company Name  or Postal/Zip "quick search"  fields.

The list of company displayed will filter based on the data input into either one of the quick search fields

To view a companies details, just click on the company row

You now have 3 choices

  1. Use the continue button, to proceed with the selection
  2. Edit/Add Site address contacts for the selected company (see this Job aid)
  3. Create a new company record (Only use if the company you desire does not yet exist in the system)

Clicking Continue will assign the company ot the student and return y9ou to the course attendance.

Note: if the system detects that none of the students in the course currently do not have a company assigned, it will prompt you and ask if you want to assign all the students in the course to the same company you have just selected.

New Company Invoice

From the courses module- Course Attendance portal, deter mine the student you wish to create the invoice for , then click the "Actions" pop-over and click the Create Company Invoice button.

Note: The student in question must already have a company assigned to them, if not see the previous section "Assign Company".

You will then be asked if yu wish to apply a promo code, at this point you can decline to apply a promo code (No) Apply a promo code (Yes) or stop the process entirely (STOP).

Stopping the process woud allow you to go and create a promo code ( a seperate process) if needed before proceeding

Option: No

The company terms will be display ( for reference)

Click Continue

You are now presented with a screen to allow you to select a site/Address and Contact for both the billing and Shipping (we start with Billing)

Start with selecting a site by clicking on it

If there is only one Billing Address and a singel Billing Contact the system will auto select them

Note: Selection is indicated by the green arrows to the left of the information

  1. If you have an unverified address (indicated by a yellow dot) then you must verify it before proceeding.
  2. To verify an address ( or edit the site/address/contact) click the Edit/Add/Site/Address/Contact Records button

Note: It's at this point you may add another shipping/billing address and or contact

 

Use the Address Search button to verify the address ( this process is covered under a separate Job Aid)

Once Complete, use the Return to Previous Window button

Sometimes the Red text on the right will not properly refresh, (still shows ADDRESS NOT VERIFIED) if this happens, just click on the address and the screen should refresh

Switch to Shipping

Now that buling info has been set, switch to billing by clicking ( yes you guessed it ) the Switch to Shipping button

If needed you may need to  verify or edit or add shipping address or contact information, just as you did with billing

Once all the information has been selected and verified, click the Continue Button

Invoice Created, After clicking Continue the invoice will be created with all

3rd Party Invoices

3rd Party invoicing allows you to bill one or more students to a company other than the one they may be directly associated with. (For situations where student(s) from Company "A" are being invoiced under Company "B".)

From the courses module select the 3rd Party invoicing tab

To Enable 3rd party invoicing you must first "turn on" 3rd party invoicing ny checking off the "Allow 3rd Party Invoicing" checkbox

Note: the 3rd Party How To pop-over provides a guide on performing 3rd party invoicing

 

  1. Turn on the "3rd Party Invoicing" flag.  Procedure buttons and portals will now be visible.
  2. Select the student(s) to be invoiced.
  3. Pick the company who will be 3rd Party invoiced.  "Start typing..."  The portal under the typing location will populate with data that will be reduced on every keystroke.  When you find the correct one, hover over the name to see the full address, you can click the green checkmark icon.  This will flag student(s) records with the company name and id#.
  4. The "Invoice" button can now be used to create the invoice.  Upon completion of the procedure you will be taken to that invoice.  Use the Discount calculator to match the PO# value if there is one.

After you have clicked the Create Invoice button, you will again be presented with the screen to allow you to select a site/Address and Contact for both the billing and Shipping (we start with Billing) ( see steps for New Company Invoice)
